Job Requirements
- High school diploma or equivalent
- at least two years experience in an administrative, clerical or communications role
- ability to read and interpret medical, technical, regulatory and quality procedures in English
- expert knowledge of Microsoft Office Suite including Outlook, Word and Excel
- expert knowledge of payroll and scheduling systems
- strong attention to detail
- ability to handle confidential information and maintain confidentiality
Job Qualifications

- associate or bachelor’s degree preferred
- at least two years experience in administrative, clerical or communications role

Job Duties
- Administration support including maintaining forms and records, performing data entry, managing files, and preparing reports
- assisting with purchasing, travel, and expenses
- fulfilling equipment and document orders
- assisting with insurance reporting and site visit coordination
- updating and creating memos, presentation materials and emails for effective communication
- assisting in onboarding new employees and supporting existing staff
- coordinating and tracking training programs and error management
- project coordination, tracking progress, and ensuring timely task completion
- assisting with internal and external event planning including venue securing, invitation distribution, agenda preparation, set-up and take-down, food ordering, presentation uploading, and attendance tracking
- identifying areas for operational improvement and implementing efficiency measures
- managing supply chain by ordering supplies and managing inventory
- providing staff scheduling support and approving PTO in accordance with policies
- managing sick calls and evaluating operational needs
- managing Collections team payroll, ensuring proper compensation and mileage reimbursement
- maintaining timecards in tracking software
- reviewing exceptions, holidays, overtime and special circumstances impacting compensation
- auditing and preparing mileage reports for reimbursement
- serving as backup for Volunteer Coordinator and Providence customer service representative
- supporting Donor Services and Recruitment team members
- performing other assigned duties
