The By Invitation Only (BIO) Coordinator role at Raymond James involves managing and supporting the firm’s exclusive client VIP program designed for High Net Worth (HNW) and Ultra-High Net Worth (UHNW) clients. Operating under general direction, the BIO Coordinator leverages considerable expertise and skills gained through advanced education and professional experience to deliver superior service and an elevated client and advisor experience. This position is integral in coordinating complex, high-profile events and meetings that cater to a prestigious clientele, requiring meticulous planning and strong relationship management capabilities.
The BIO Coordinator acts as a crucial liaison between Financial Advisors, internal teams, and Subject Matter Experts, ensuring seamless collaboration and alignment of program objectives. The role demands flexibility, dependability, and the capacity to adapt swiftly in a dynamic, fast-paced environment. Key responsibilities include end-to-end management of BIO program meetings and events, vendor and partner relationship management, budget oversight, and ongoing enhancement of program tools and workflows through collaboration with technology teams. This position plays a vital role in continuous improvement initiatives aimed at expanding and refining the BIO program, supporting the overall strategic goals of the firm.
Candidates for this position will ideally come from backgrounds in hospitality, event management, or related fields, with demonstrated experience servicing HNW or UHNW clients. A Bachelor’s degree in Business Administration, Hospitality, or related disciplines, along with at least two years of relevant experience, is preferred. Certification such as the PMI Certified Associate in Project Management (CAPM) is advantageous. Job Qualifications
- Education backgrounds in hospitality, meeting planning, or event management with demonstrated experience supporting HNW or UHNW clientele
- bachelor’s degree (B.A.) in Business Administration or a related discipline with a minimum of two (2) years of experience in an assigned or related function
- strong project and program management capabilities
- excellent communication and stakeholder engagement skills
- ability to build and maintain strong professional relationships
- highly organized with attention to detail
- proficiency in standard office software and specialized tools such as SharePoint, SmartSheet, Spoonfed, and Access
- PMI Certified Associate in Project Management (CAPM) preferred
Job Duties
- Oversees end-to-end planning, coordination, and execution of the firm’s By Invitation Only (BIO) program meetings, events, and related activities
- coordinates additional High Net Worth and Private Wealth initiatives as assigned
- provides a consistently high level of service to program participants including Private Wealth Consultants, Financial Advisors, internal partners, and external professional partners
- builds and maintains strong, trusted relationships with advisors and SME partners to support collaboration, program alignment, and overall program success
- establishes, maintains, and continuously improves the integrity and effectiveness of By Invitation Only program tools and resources
- partners closely with technology teams and vendors to enhance and automate program tools and workflows, including ongoing development of the SmartSheet tool
- develops, maintains, and updates all client- and advisor-facing program materials including brochures, internal documentation, and internal/external web resources
- manages all vendor and partner relationships associated with By Invitation Only
- reviews, approves, and tracks all program-related expenses and transactions ensuring budget discipline and accuracy
- ensures proper use of technology across all program meetings and operations including video conferencing platforms, presentations, and process technology tools
- supports program expansion, enhancements, and continuous improvement initiatives
- participates in establishing objectives, processes, and procedures to ensure efficient, timely, and scalable workflows
- maintains a strong working knowledge of the assigned area of responsibility and industry best practices
- performs other duties and responsibilities, as assigned
