Job Requirements

  • High school diploma or equivalent
  • proficiency in Spanish and English, both spoken and written
  • experience in a receptionist or administrative support role preferred
  • familiarity with PowerSchool or similar attendance tracking systems
  • experience with QuickBooks or financial processing software preferred
  • ability to operate office equipment such as computers, printers, calculators, and copy machines
  • ability to perform basic first aid
  • strong interpersonal and communication skills
  • ability to manage multiple tasks in a fast-paced environment
  • ability to maintain confidentiality
  • willingness to work full-time
  • ability to lift up to 30 pounds occasionally
  • ability to remain stationary for extended periods
  • valid work authorization

Job Duties

  • Greet and welcome students, families, and all guests
  • switchboard duties
  • create a binder for sign-in/sign-out of guests and staff
  • ensure visitor's ID is given and visible to all
  • administer basic first aid to students in need
  • email weekly announcements to all school staff, students, and faculty
  • receive and track all deliveries
  • maintain and update front office PowerPoint TV Monitor presentation
  • recite daily prayer at start of the school day
  • speak and write fluently in Spanish to translate for faculty and staff as needed
  • assist Admissions Department with family/student interviews
  • check in tardy students each morning and give tardy pass to class
  • keep attendance records in PowerSchool updated each period
  • complete absentee phone calls to parents daily
  • provide weekly attendance reports and meet weekly with the Vice Principal for Student Life
  • write out and distribute Reflection Notices to students
  • complete follow-up calls to students with Level 1 absentee concerns
  • process accounts payable including collecting approval for expenses, entering all AP in QuickBooks, preparing checks, collecting signatures, and mailing checks
  • print and mail invoices/statements for tuition and Mealtime monthly
  • perform monthly distribution and tracking of bus passes
  • provide additional administrative support to the Finance department
  • develop personal and professional boundaries with students
  • call parents or emergency contacts as needed
  • connect students with appropriate campus resources
  • train Front Desk aides when assigned
  • participate in ongoing training from personnel
  • perform other duties as assigned
