The Jeffcoat Firm is currently seeking a dedicated Receptionist to join its dynamic team. This position serves as the initial point of contact for clients and visitors, providing essential administrative support and exceptional customer service. The role is well-suited for individuals who excel in a fast-paced setting, enjoy engaging with people, and are bilingual, as the ability to communicate in both English and Spanish (or other relevant languages) is a requirement. The Receptionist will manage a variety of responsibilities that contribute to the smooth operation of the firm, including answering and directing incoming calls using Zoom soft phone systems, greeting clients warmly, assisting with client intake by following established protocols, and differentiating calls from third parties such as insurance adjusters and vendors. Additionally, the Receptionist will coordinate appointments, manage conference room scheduling, handle various administrative duties such as mail sorting, filing, tracking office supplies, and supporting team members with special projects.

This position offers competitive compensation ranging from $16 to $19 per hour based on experience and promotes a healthy work-life balance with limited overtime. The work schedule is standard business hours, Monday through Friday, from 8:30 AM to 5:30 PM, in an in-office setting located in Columbia, SC. Job Requirements

  • High school diploma or GED
  • Minimum of 1 year of administrative and customer service experience
  • Bilingual proficiency in English and Spanish or other relevant languages
  • Ability to maintain confidentiality and handle sensitive information with integrity
  • Proficiency with office technology including Zoom Microsoft Office Suite and office management software
  • Ability to adapt to evolving technology and processes
  • Available to work Monday through Friday 8:30 AM to 5:30 PM
  • Willing to work in-office in Columbia SC

Job Qualifications

Job Duties

  • Answer and direct incoming calls promptly professionally and accurately utilizing Zoom soft phone systems
  • Greet clients and visitors warmly ensuring a positive experience
  • Assist with client intake processes by following scripts and clearly explaining the firm’s unique services
  • Differentiate and manage calls from third parties such as insurance adjusters vendors and solicitors
  • Manage scheduling of conference rooms and coordinate appointments for attorneys and staff
  • Handle administrative duties including sorting and distributing mail deliveries and packages filing and supporting team members with various tasks
  • Track and maintain office supplies inventory placing orders as needed
  • Monitor and report on daily weekly and monthly client engagement and firm goals
  • Maintain strict confidentiality of client information and firm operations
  • Support special projects and perform additional administrative duties as assigned
  • Promote a welcoming and professional environment for clients and staff alike
