The role of a Receptionist at Bert Ogden is a pivotal position that serves as the first point of contact for visitors and customers entering the building. This job demands a professional appearance and an upbeat attitude to create and maintain a positive first impression, both in person and over the phone. As the face and voice of the company, the receptionist is expected to handle incoming calls on a multi-line phone system with courtesy and professionalism, ensuring that calls are routed to the appropriate employees or voice mail efficiently. The role involves not only answering and directing calls but also accurately taking messages when necessary and ensuring clear and legible communication.

In addition to managing communications, the receptionist is responsible for greeting visitors and customers, understanding their needs, and guiding them to the correct person or department. The receptionist must handle mail processing duties including opening, sorting, preparing outgoing mail and packages, as well as managing filing systems to maintain organized records. Typing routine correspondence and performing general clerical tasks like photocopying and mailing form part of daily responsibilities.

The position also requires maintaining the reception area in a neat and organized state, ordering office supplies, coordinating equipment maintenance, and managing meeting and conference room reservations including catering schedules. Job Requirements

  • Must be 21 or older
  • must have a valid Texas driver's license
  • must pass a drug test screening

Job Duties

  • Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner

  • meets and greets all visitors/customers and directs them to the appropriate employee/locations
  • responds to visitors, clients, and employees professionally
  • opens and routes incoming mail
  • prepares and forwards outgoing mail and packages
  • composes and types routine correspondence
  • performs general clerical duties including filing, photocopying, and mailing
  • organizes and maintains file system
  • orders and maintains supplies
  • arranges equipment maintenance
  • keeps reception area organized
  • prepares and maintains meeting and conference room reservation and catering schedules
  • demonstrates high professionalism with confidential and sensitive issues
