The role of Assistant Community Manager is integral to the property's daily operations and overall community management. Reporting directly to the Community Manager, the Assistant Community Manager is responsible for overseeing various administrative and operational duties within the property. This position acts as the main point of contact in the absence of the Community Manager, ensuring seamless management and continuity of services to residents. The Assistant Community Manager must master a broad scope of property management functions, including office clerical responsibilities, resident relations, rent collection, and compliance with affordable housing regulations.

Key responsibilities include managing all property office clerical duties such as filing, responding to inquiries, and handling affordable housing paperwork meticulously. The role requires in-depth knowledge of specific property programs like Project Based Section 8 and LIHTC, and the ability to conduct new resident orientations that introduce residents to community standards and resources. The Assistant Community Manager is also tasked with maintaining accurate tenant files, assisting with legal proceedings and risk management issues, and supervising staff when necessary.

In addition to these core duties, the Assistant Community Manager serves as a Resident Service Coordinator, developing and maintaining a comprehensive resource directory to assist residents in accessing essential social services and community resources. They organize educational events featuring guest presenters on topics such as healthcare, life skills, and agency support, thereby playing a crucial role in enhancing resident well-being and community engagement. This multifaceted position demands a proactive approach, strong organizational skills, and the ability to handle multiple tasks efficiently while maintaining a high level of accuracy and professionalism.

Job Qualifications

  • High school diploma
  • At least 1 year of Assistant Property Management experience
  • Must have working knowledge of affordable housing programs such as LIHTC, Section 8, HUD
  • Must have strong customer service skills
  • Bachelor's degree from an accredited college or university preferred
  • At least 3 years of Assistant Property Management experience preferred

Job Duties

  • Responsible for all office clerical duties including filing, answering phone calls and administration of affordable housing paperwork
  • Must take annual Fair Housing Training to ensure property compliance
  • In depth knowledge of property programs i.e. Project Based Section 8, LIHTC, etc.
  • Conducts new resident orientation
  • Responsible to collect resident rents and prepares deposit slip
  • Maintains tenant files and all related documentation with accuracy
  • Performs supervisory duties when Community Manager is absent
  • Assists in entering work orders for maintenance staff
  • Assists in legal proceedings and risk management issues as needed
  • Develop and maintain resource directory including listing of state and local service providers
  • Organize presenters for educational events related to healthcare, agency support, life skills and referral sources
  • Assist residents in obtaining contact information for community agencies and social service providers
  • Other tasks as assigned
