This role involves supporting two BPM-managed properties located in Aurora, Colorado, by providing clerical and administrative assistance to Community Managers. The position is key to ensuring the long-term viability of the properties through smooth day-to-day operations, superior tenant relations, and strict adherence to regulatory standards. The role requires excellent organizational skills, a proactive approach to solving problems, and a strong commitment to delivering outstanding customer service.
The Administrative Support Specialist will perform a variety of clerical duties such as managing resident demographic materials, responding to occupancy inquiries, filing and distributing reports and invoices, and conducting building inspections. Additionally, they will assist with leasing activities including showing and leasing apartments, processing application paperwork, and maintaining occupancy records. Compliance with affordable housing regulations, including documentation for recertifications and audits, forms a critical part of this role.
Interaction with residents, vendors, and visitors is a daily function, requiring professionalism and respect. The position also demands regular travel between the two properties for meetings and training sessions, emphasizing the need for reliable transportation and a valid Colorado driver’s license. The ability to work independently as well as part of a team is essential, along with proficiency in general office equipment and property management software, ideally RealPage Onesite.

- answers, screens and directs phone calls
- conducts weekly building inspections
- reports building problems to maintenance and management
- assists with unit inspections for cleanliness and maintenance
- assists in leasing and occupancy tasks including showing apartments and conducting tours
- helps applicants with paperwork completion
- maintains resident waitlists and files in compliance with policies
- performs move-in and move-out inspections
- inputs data related to leasing in property management software
- assists with regulatory audit preparation
- helps with rent collection and invoicing processes
- runs delinquency reports and prepares late notices
