The Assistant Catering & Special Events Manager (ACSEM) plays a pivotal role within the Food & Beverage department at Exmoor Country Club. Reporting directly to the Catering & Special Events Manager and the Clubhouse Manager during the off-season, the ACSEM is integral in ensuring the successful execution of all food and beverage experiences, whether for private functions, club events, or daily operations. This role demands a dynamic individual who can oversee catering operations with precision, manage staff effectively, and maintain the highest standards of service excellence. From January through May, the ACSEM will primarily focus on managing the Oakhouse facility during the off-season, ensuring seamless daily operations while supporting the overall food and beverage team.
Key responsibilities of the ACSEM include assisting with the execution of private and club events, training and directing service staff, and maintaining regular communication with members or event committees to ensure their expectations are not only met but exceeded. The role requires active participation in planning meetings, pre-shift briefings, and regular collaboration with management to address any operational issues. The ACSEM also oversees post-event activities such as cleaning, data entry, billing, and reporting.
During the winter months, the ACSEM shifts focus to the Oakhouse, holding daily pre-service meetings, ensuring facility readiness, managing inventory and ordering, and providing direct guest service during peak periods. The individual must be capable of handling member or guest concerns with professionalism, while also collaborating closely with kitchen and service staff. This position requires flexibility, as working nights, weekends, and holidays is necessary due to the nature of the business.

Job Requirements
- High school diploma or equivalent
- one to three years of experience in food & beverage preferably at a private club
- BA/BS in hospitality or related field preferred
- food handlers and Bassett certifications required
- strong communication skills
- flexible availability including nights, weekends, and holidays
- ability to stand or walk for extended periods
- ability to lift up to 40 lbs
- proficiency with Outlook, POS systems, Excel, and Word
- experience with catering software preferred
Job Qualifications
- One to three years of experience in food & beverage preferably at a private club
- BA/BS in hospitality or certifications in event planning preferred
- possess food handlers and Bassett certifications
- detailed and thorough approach from start to finish
- excellent communication skills for member and staff engagement
- business acumen to suggest and follow through on event execution and costing
- awareness of current industry trends and ability to apply them
- flexible schedule including nights, weekends, and holidays
- ability to stand or walk for long periods
- ability to lift up to 40 lbs
- computer literate in Outlook, POS, time systems, Excel, and Word
- experience with Cobalt Software or other catering platforms a plus
Job Duties
- Assist the Catering & Special Events Manager with execution of all private functions
- train and direct service staff for continual improvement
- work closely with the Catering & Special Events Manager to assist with creating banquet orders for assigned events
- attend member or sponsor planning meetings for upcoming events as schedule allows
- maintain continual contact with members or committees to ensure service excellence and exceed expectations
- assist with execution of select club events
- assist the Clubhouse Manager with oversight and operation of the Oakhouse during winter months
- attend pre-shift staff meetings and reinforce anticipation of member and guest needs
- ensure security, safety, and health standards are met or exceeded
- demonstrate highest standards of service and behavior
- notify management of any complaints, concerns, or issues for swift resolution
- actively manage and implement operational improvements
- attend weekly Food & Beverage manager meetings
- meet regularly with Catering & Special Events Manager and Clubhouse Manager to stay informed of operational matters
- coordinate and supervise events to ensure smooth execution and exceed member specifications
- oversee dismantling, cleaning, and clearing of club areas after events
- conduct post-event evaluation including data entry, billing, analysis, and reporting
- hold daily pre-service meetings at the Oakhouse
- check appearance, safety, and cleanliness of the Oakhouse prior to service
- oversee pars, ordering, and stocking procedures
- assure completion of side work and cleaning
- manage staff to deliver service excellence during peak periods
- handle member or guest satisfaction issues calmly and respectfully
- assist in table service, bussing, or food running as needed
- liaise between kitchen staff and service team
- secure the Oakhouse at the end of business period
- perform other tasks or special projects as assigned
