Job Requirements

  • High school diploma or equivalent
  • Previous experience in receptionist, front desk, or customer service roles preferred
  • Experience in client-facing legal roles preferred
  • Competent computer literacy with strong keyboarding skills
  • Proficient in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Ability to multitask effectively and remain calm in fast-paced environments
  • Detail-oriented and organized

Job Duties

  • Welcome clients, vendors, job applicants, and other visitors in a warm and friendly manner as soon as they arrive and connect them with the appropriate party
  • Attend to all client and visitor needs, including offering refreshments, escorting them to meeting spaces, providing documentation, and obtaining signatures as needed
  • Manage the front desk, including dialing, answering, and directing phone calls, taking messages, and handling inquiries
  • Maintain cleanliness of the reception area, lobby, and conference rooms between meetings
  • Ensure the reception desk is covered at all times during business hours and manage office opening and closing procedures
  • Manage and organize conference room schedules for the Lafayette office, coordinating with staff as needed
  • Serve as backup mail clerk by sorting, scanning, and delivering mail, maintaining confidentiality
  • Serve as a witness to legal documents as requested
  • Handle conference room technology and report any technical issues
  • Assist with employee appreciation initiatives and office event planning
  • Perform any additional tasks assigned by attorneys, supervisors, or firm leadership to support firm growth and success
