Job Description

This position is offered by a hospital setting where the Admission Coordinator plays a crucial role in managing front desk operations with an emphasis on patient admissions and reception duties. The hospital is a healthcare provider dedicated to delivering comprehensive medical care and support services to a diverse patient population including children, teenagers, and adults. As an integral link between patients, nursing units, and the intake department, the hospital prides itself on providing professional and compassionate care while maintaining operational efficiency. The facility encourages a work culture rooted in service excellence, confidentiality, and professional demeanor, ensuring all staff uphold the mission and values of the organization.

The Admission Coordinator functions primarily as the first point of contact for patients and visitors, responsible for front desk receptionist duties and the administration of admission processes. This role requires answering the main hospital phone lines with professionalism, directing calls, and assisting callers effectively by transferring them to appropriate departments or personnel. A key responsibility involves verification of patient insurance details, requiring coordination with insurance providers and internal stakeholders to understand eligibility, co-pays, deductibles, and pre-existing conditions. The Admission Coordinator also facilitates obtaining necessary patient signatures on admission paperwork and ensures all forms are processed and distributed accurately and timely.

An essential aspect of this role includes maintaining detailed records such as daily census of admissions and discharges, updating admission boards for evaluations and appointments, and managing hospital equipment like fax machines, postage machines, and switchboards. The coordinator is also entrusted with greeting visitors and patients, providing directional assistance within the hospital, and supporting other clerical and administrative tasks. This position demands a high level of multitasking, problem-solving, and communication skills, underscored by a customer service mindset and an ability to interact compassionately with patients and their families during stressful situations.

Professional qualifications include a high school diploma and 1 to 3 years of experience in admissions or related administrative roles within a hospital or healthcare environment. The role requires proficiency in phone, switchboard operation, typing, and computer skills, as well as current BLS CPR certification. Physical demands of the role involve occasional lifting, standing, walking, and manual dexterity, aligning with the hospital’s safety and environmental standards.

The Admission Coordinator must consistently demonstrate service excellence by treating all patients, staff, and visitors with respect, maintaining confidentiality, and adhering to hospital policies and procedures. Participation in mandatory trainings and compliance with attendance policies are necessary to ensure ongoing professional development and operational effectiveness. This role is vital to the hospital’s overall mission of delivering quality healthcare and operational excellence, shaping positive experiences from the first point of patient interaction to coordinated care delivery.
