Job Description

Cal State East Bay, located in the scenic Hayward hills with panoramic views of the San Francisco Bay shoreline, is one of the 23 universities in the California State University system. This role is for an Administrative Support Assistant II position based in the College of Letters, Arts, and Social Sciences (CLASS) within the Education Administrative Support Office. The position functions as the primary point of contact for this office, providing essential front-line customer service and administrative support to visitors, students, faculty, and staff. It involves varied clerical and general office duties with varying degrees of complexity. This full-time staff role offers a salary range from $3,565 to $4,346 per month, dependent on qualifications and experience. There is also potential eligibility for participation in Cal State East Bay’s hybrid telecommute program, permitting remote work as scheduled or requested by management.

Key responsibilities include overseeing the daily office operations, coordinating routine administrative processes, and ensuring accurate documentation of college activities. This includes managing tasks such as syllabus collection every semester, faculty office hour postings, scholarship tracking, procurement card oversight, room scheduling, permit distribution for faculty and staff parking, and submitting purchase and facilities requests. The Administrative Support Assistant II must be highly organized, detail-oriented, and capable of multitasking efficiently in both physical and virtual office environments.

In addition to routine office duties, the incumbent will greet visitors, manage the main phone line, distribute mail and packages, and handle key requests and inventory management for office supplies. Proficiency in computer applications such as Microsoft Office Suite, Google Sheets, Outlook, and familiarity with programs like SharePoint and Oracle are highly valued. The ability to utilize office technology systems—copiers, scanners, multiple-line phone systems—is essential.

The role also demands excellent interpersonal and communication skills to interact effectively with diverse university stakeholders. Candidates should demonstrate a strong customer service focus, professional demeanor, and the ability to prioritize duties to meet deadlines. Attention to detail and accuracy in performing mathematical calculations and maintaining records is critical. Prior experience in higher education administrative environments or call centers is preferred but not mandatory.

Successful applicants must pass a background check including LiveScan fingerprinting and be prepared to maintain reliable attendance in a front-desk operational role. Job Duties

  • Answers main phone line screen, take messages and direct callers to the appropriate personnel
  • greet all guests and visitors to the office and provide assistance as needed
  • distribute mail and packages daily and send delivery notifications to appropriate personnel
  • purchase office supplies, maintain inventory and track fund balance according to university policy
  • submit work order requests with Facilities Operations
  • submit print orders to Duplicating Services
  • maintain College Master Directory and update in all public facing locations
  • submit key requests, track and notify requester of status
  • collect and rename course syllabi every semester
  • collect and post faculty office hours
  • send grading reminders every semester
  • track CEAS scholarships
  • serve as procurement card steward monitoring usage and compliance
  • execute non-academic rooming requests per policy
  • distribute annual staff parking permits and faculty academic term permits, maintain accurate list of permit recipients and submit parking permit requests for college events and meetings
