We are currently seeking a professional, organized, and customer-focused Administrative Specialist to join our hospice team. This role is pivotal as the welcoming face of our office and the first point of contact for patients, families, referral sources, and team members. The Administrative Specialist supports daily office operations by providing clerical and administrative assistance and acts as the primary receptionist. This position suits someone who thrives in fast-paced healthcare settings, enjoys helping others, and is proud to deliver exceptional service. The Administrative Specialist will handle various tasks including answering phone calls, greeting visitors, coordinating office supplies and vendor services, managing mail and shipments, organizing travel arrangements, and assisting with meetings and special events. Additionally, this role supports leadership and marketing teams through efficient communication, scheduling, and data entry.

A key aspect of this role is maintaining confidentiality and professionalism while interacting with patients, families, staff, physicians, and community partners. Job Requirements

  • Reliable transportation
  • current driver's license and auto liability insurance
  • ability to work in an office environment with occasional schedule flexibility as needed

Job Qualifications

  • High school diploma required
  • college coursework preferred
  • previous office or administrative experience preferred
  • healthcare or hospice/home health experience is a plus
  • knowledge of medical terminology preferred
  • strong computer, communication, organizational, and multitasking skills
  • excellent interpersonal and customer service abilities
  • ability to work independently while managing multiple priorities

Job Duties

  • Answer incoming calls professionally and assist callers as needed
  • serve as the front desk receptionist and greet all office visitors
  • support office operations by ordering supplies and coordinating vendor services
  • process incoming and outgoing mail, deliveries, and shipments
  • coordinate travel arrangements including hotel, rental car, and meal reservations
  • maintain office contact lists, phone directories, and resource information
  • assist with meetings, special events, conferences, and office projects
  • provide clerical and administrative support to leadership and the Marketing Department
  • order bereavement flowers/plants and assist with special acknowledgements
  • perform data entry and provide general computer support
  • maintain confidentiality while communicating effectively with patients, families, staff, physicians, and community partners
  • represent the agency with professionalism, compassion, and a positive attitude
