This job opportunity presents a crucial role within AFSPA, aimed at maintaining smooth front desk operations and ensuring effective mail and package management. The position focuses on performing receptionist and front desk duties, including operating a multi-line telephone system to handle incoming calls and route them appropriately or processing and distributing all incoming and outgoing mail and packages. As the first point of contact for visitors, members, and vendors, this position demands a friendly and professional demeanor to represent the organization's image positively. The role requires handling general inquiries, directing calls, greeting guests, and providing various administrative supports across departments.

The position offers a full-time schedule of 35 hours per week, Monday through Friday, with work hours scheduled between 7:00 AM and 7:00 PM based on business needs. Compensation for this role ranges from $38,000 to $43,000 annually, depending on experience and qualifications. Job Duties

  • Answer a multiple-line phone system
  • screen and manage calls by routing them to the proper queue/extensions or taking messages and delivering them within our message system
  • provide callers with the company address, directions, and other general information
  • maintain the reception area, keeping it clean and free of clutter
  • staff the receptionist's desk during scheduled times and when other administrative clerks are absent
  • accept and process deliveries and mail, organizing them for distribution
  • serve as the face of the company offering friendly and professional service to visitors and callers
  • greet all visitors and vendors courteously and announce them to appropriate personnel
  • prepare and pack all Open Season boxes and mailings
  • distribute packages received through mail or shipping services promptly
  • prepare mail tracking reports
  • prepare claim boxes sent to external offices by deadlines including postal tracking labels
  • notify office coordinator if USPS mail is undelivered
  • operate the receptionist's desk during assigned times and breaks
  • deliver messages verbally and in writing promptly
  • record and transfer calls or messages efficiently
  • sort and process mail timely
  • alert staff members upon package arrivals
  • manage outgoing packages and notify sender if packages are not timely retrieved
  • process incoming certified courier and pouch mail
  • assist all departments with special projects such as insurance premium invoicing and returned mail handling
  • work during all association business hours
  • perform other duties as assigned
