Job Description

The organization hiring for this position operates as a service-oriented agency that values exceptional front office operations and community engagement. The agency is dedicated to providing a welcoming environment to its guests and clients while maintaining efficient administrative processes. Operating within a typical office setting, this company ensures its team members are supported through well-established systems and contemporary office equipment. As a part-time opportunity, the agency offers a structured schedule for evening shifts, catering to those seeking a balance between professional and personal responsibilities. The position is remote-work ineligible, emphasizing the importance of presence and interpersonal communication within the physical office environment. Compensation for the role is competitive within the market and is set at approximately $21 per hour, underlining the company’s commitment to fair remuneration for valuable administrative support.

This part-time Administrative Assistant/Receptionist role is central to frontline communication and administrative management within the agency. Covering shifts Monday through Friday from 5 pm to 9 pm, totaling 20 hours per week, the role is ideal for candidates with a background in customer service and office support. Core responsibilities include welcoming guests warmly upon arrival, managing multi-line phone systems to screen and document calls effectively, and sustaining office security by controlling access. Administrative duties span clerical functions such as copying, faxing, scanning, filing, mailing, shredding, data entry, and the meticulous scheduling of meetings both in-person and virtual. The incumbent will ensure smooth communication of schedules and maintain visual meeting calendars in designated spaces, supporting the overall efficiency of office operations.

The role requires a candidate with a high school diploma or equivalent at minimum, with a preference for those holding an associate degree. Experience is critical; the successful applicant will have at least three years of work experience in a receptionist or similar front office capacity. The position demands proficiency in handling a range of office equipment including computers, printers, fax machines, and telephones, alongside familiarity with software applications such as Microsoft Office suite and ideally, Electronic Health Record systems like Welligent. Skill in telephone etiquette, data entry, office procedure knowledge, and customer service is necessary.

Soft skills are highly valued, including the ability to manage multiple tasks creatively and work both independently and collaboratively. Integrity, professionalism, and the capacity to maintain confidentiality are critical. Strong oral and written communication skills are essential, as are cultural competency and sensitivity to diverse community backgrounds. Bilingual ability in Spanish and personal lived experience with mental health are considered advantageous for this role. Candidates must also meet physical requirements including manual dexterity for equipment operation, as well as normal hearing and vision capabilities.

This position provides an excellent opportunity for motivated administrative professionals looking for a part-time role with predictable hours in a dynamic office environment focused on community service and operational excellence. The agency emphasizes a supportive culture aligned with growth and collaboration, fostering an inclusive atmosphere for staff and clients alike.
