This specific role is for a full-time Front Desk Support Staff position based at the Beaufort Clinic of the Coastal Empire Community Mental Health Center. The position operates Monday through Friday with standard office hours from 8:30 AM to 5:00 PM, including one evening shift each week on a rotating basis. The annual salary for this role ranges from $37,200 to $45,000, commensurate with experience and qualifications. The frontline responsibilities are critical for ensuring smooth administrative operations and supporting clinical staff in delivering exemplary service to clients.

As Front Desk Support Staff, you will be the initial point of contact for patients, providers, and other stakeholders, handling scheduling, appointment reminders, patient intake, and communications flow between various service providers such as psychiatrists, nurse practitioners, and clinicians. You will perform essential administrative duties, including managing office correspondence, maintaining electronic medical records (EMR) integrity, processing patient financial information, coordinating telehealth services, and managing the physical reception environment. This role requires a detail-oriented, organized individual capable of multitasking and exercising discretion within a health care setting.

Additional responsibilities include cross-training in administrative functions to support other team members during leave periods and ensuring compliance with office policy standards. Candidates must be willing to complete required certifications, such as Managing Agitation in the Psychiatric Setting (MAPS), post-hire. The role also demands excellent interpersonal communication skills and proficiency with clerical and computer-based office management tasks.

Job Requirements

  • High school diploma
  • Two years of clerical experience or associate degree in secretarial science or related field
  • Ability to complete Managing Agitation in the Psychiatric Setting certification post hire
  • Effective oral and written communication skills
  • Knowledge of office management policies and clerical procedures
  • Proficiency with computer programs and clerical formats
  • Ability to perform record-keeping and general administrative functions
  • Willingness to perform cross-training duties
  • Availability for one evening shift per week on a rotating basis

Job Qualifications

  • High school diploma or equivalent
  • Two years of clerical experience or an associate degree in secretarial science or related field
  • Proficiency in office management software and electronic medical records systems
  • Ability to communicate clearly and effectively both orally and in writing
  • Knowledge of office policies, practices, and procedures

  • Bilingual abilities in English and Spanish or another language are a plus

Job Duties

  • Centralize scheduling for service providers including psychiatrists, nurse practitioners, clinicians, and other staff
  • Make reminder calls and handle cancellations and rescheduling
  • Complete and process patient intakes
  • Answer phones and direct calls
  • Collect and distribute mail, faxes, and correspondence
  • Create and mail client correspondence as requested
  • Maintain office equipment and inventory
  • Provide general clerical support including correspondence and report preparation
  • Manage electronic medical records ensuring accurate record-keeping and electronic signatures
  • Manage client financial records including annual reviews, batch processing, accounts receivable, daily cash logs, ticket corrections, and deposit transactions
  • Communicate and coordinate telehealth services between patients and service staff
  • Support off-site telehealth efforts
  • Cross-train in all support staff duties and cover administrative specialist roles during absences
  • Oversee and manage the physical office space and lobby area
  • Ensure professional and appropriate posting of required signage
