Job Requirements
- High school diploma or GED
- Minimum of 1 year experience in an administrative support role
- Proficiency in Microsoft Office and web based applications
- Strong written and verbal communication skills
- Professional and proactive demeanor
- Ability to handle multiple tasks efficiently
- Willingness to work irregular hours including days, evenings, weekends, and holidays

- Hospitality experience preferred
- 1+ year experience in an administrative support role
Job Duties
- Routinely check orders for accuracy so they are ready to invoice
- Prepare billing reports daily and submit them to the hotel for reconciliation
- Handle billing disputes and discrepancies and communicate resolution to all parties
- Process invoices from vendors by entering them into Encore's procurement system to create a Purchase Order
- Send copy of invoice and purchase order to vendor for reconciliation
- Maintain and track purchase orders for reconciliation
- Record all equipment being utilized at the location for room set specifications and coordination
- Enter customer contact information and details into CRM system
- Enter payments received directly from exhibit customers into the billing system and reconcile
- Act as primarily phone receptionist for inbound calls and inquiries to the department and respond promptly to their needs
- Process Exhibit Orders and payments
- Create labels for shipping and coordinate with property shipping department for all shipping and receiving
