Job Description

The Farmers Branch Chamber of Commerce is a dynamic non-profit organization dedicated to supporting local businesses and fostering community growth within the Farmers Branch area. Serving as a vital hub for business networking, advocacy, and community engagement, the Chamber plays an important role in boosting the local economy and connecting members through various events and initiatives. The Administrative Assistant/Receptionist position at the Farmers Branch Chamber of Commerce is a part-time role, with working hours from 8:30 am to 2:00 pm, Monday through Friday. This position is crucial for ensuring smooth office operations and supporting the Chamber's mission through efficient administrative management and excellent customer service. As the first point of contact, the Administrative Assistant/Receptionist represents the Chamber and acts under the policies and procedures defined by the Board of Directors and the President.

In this role, the Administrative Assistant/Receptionist will be responsible for greeting visitors, managing communications, scheduling events, and supporting various members and staff. The position demands strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Additionally, proficiency in software tools such as ChamberMaster, Constant Contact, Canva, social media platforms (Facebook, Instagram, LinkedIn, YouTube), and Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook) is essential to carry out the daily responsibilities.

The Administrative Assistant/Receptionist will work closely with the President, Office Manager, Marketing and Events Manager, and other team members to facilitate meetings, coordinate events, and maintain accurate records. This includes set-up and clean-up of conference rooms, managing membership packets, processing new member applications and renewals, and supporting general membership luncheons. Flexibility is required as some events may occur during evenings or weekends.

Job Requirements

  • High school diploma or equivalent

Job Duties

  • Greet guests and serve as keyholder
  • open office, prepare conference room for meetings, and clean up after events
  • maintain member and chamber collateral materials at the front desk
  • schedule and send weekly calendar and e-blasts
  • manage chamber calendar events on all platforms including social media and website
  • handle inbound and outbound phone calls to members and other businesses
  • prepare new member and ambassador packets for monthly meetings
  • file new member applications and renewals, send thank-you letters to new and renewing members
  • maintain office and meeting supplies
  • assist with registration and name badges at monthly general membership luncheons
  • support events throughout the year including occasional weekends and evenings
  • provide assistance and support to President, VP of Membership Development, Marketing and Events Manager, Business Development Representative, Office Manager, Board of Directors and general membership
