A U.S. subsidiary of a prominent Japanese real estate company is seeking a highly skilled Japanese Bilingual Administrative Assistant to join their team in Plano, Texas. The Japanese Bilingual Administrative Assistant role is a full-time position tailored for a candidate fluent in both spoken and written Japanese, with daily communication required in the language. This role provides critical support to office operations and finance-related administrative tasks, focusing on general administrative coordination rather than complex accounting. Reporting directly to the Manager and the CEO/President, this position collaborates extensively with offices in the U.S., Japan, external accounting firms, and the corporate headquarters in Japan.
Key responsibilities include coordinating internal approval documents such as travel, expenses, and vendor payments, all managed in Japanese to ensure seamless communication with the Japanese counterparts. The assistant will also be responsible for scheduling meetings, handling travel arrangements, and acting as a liaison between the U.S. office and its Japanese headquarters along with external vendors. Additionally, maintaining and updating Excel spreadsheets and handling general office administration tasks such as managing supplies and bookings are essential to the role.
From a financial perspective, the Administrative Assistant will process invoices and payments through online banking systems, monitor bank transactions, and assist with reconciliation. Recording daily expenses and petty cash in Excel and maintaining precise documentation for review by external accounting firms are vital tasks. This position also supports expense tracking and internal financial reporting to uphold transparency and compliance.
Compliance support is another critical aspect of this position, which includes assisting with tax-related documents, conducting internal compliance reviews, and preparing reports for headquarters. The assistant is also responsible for keeping compliance-related documentation organized to ensure smooth annual audits and regulatory adherence.
This role requires a candidate with an organized, detail-oriented approach who can work independently while balancing multiple tasks. The position offers hybrid work flexibility with an expectation of being present in the Plano office at least three days per week. Part-time or flexible arrangements may be considered for candidates who meet qualifications and demonstrate a commitment to the role. Candidates must have valid U.S. work authorization, including those with time-limited permissions.
