Job Description

The Quad Parishes of the Catholic Diocese of Green Bay is a vibrant faith community located in Wisconsin that embraces the mission and values of the Catholic Church. Comprised of four parishes, this organization serves a diverse congregation through worship services, community outreach, and spiritual formation activities. We are seeking a dedicated Administrative Assistant to join our team on a full-time basis, working approximately 32 hours per week. This role serves as the friendly face of the parish, acting not only as a receptionist but also as a positive disciple and ambassador for the Quad Parishes. The Administrative Assistant will oversee office operations, serve as a critical liaison between the Parish Administrator, Finance Council, and Pastoral Council, and provide essential support to ensure the smooth functioning of parish activities. This position requires a professional with strong organizational skills, excellent communication abilities, and a warm, welcoming demeanor.

The Administrative Assistant is responsible for managing the front desk reception and overall administration, greeting all guests warmly and ensuring consistent coverage. This person will manage the coordination of masses, sanctuary candles, parishioner registrations, and communications with Diocesan offices through data management software like CHMS. Additionally, this role includes preparing and publishing the weekly bulletin, assisting with graphic design for parish publications, and managing the parish website and social media. Operational duties involve maintaining parish calendars, coordinating rentals, supporting budget preparation, managing office supplies, and ensuring the office environment is secure and well-maintained.

The ideal candidate should demonstrate proficiency with Microsoft Office and general office equipment, possess excellent written and verbal communication skills, and be adept at multitasking in a fast-paced environment. A background in office operations and administrative support is essential, while Spanish language skills are considered a plus. Beyond technical skills, the role requires someone with a hospitable spirit, capable of embracing the mission and vision of the Catholic Diocese, and participating in faith-enrichment activities such as retreats and seminars. Reporting directly to the Parish Administrator or Parochial Vicar, the Administrative Assistant is expected to work independently and efficiently to meet deadlines.

Job Duties

  • Serve as the main receptionist, greeting all guests warmly and professionally
  • Ensure front desk coverage and arrange backups as needed
  • Communicate promptly and courteously with visitors and parish staff
  • Manage incoming and outgoing mail
  • assist with parish mailings
  • Register new parishioners and connect them with ministry leaders
  • Schedule Mass intentions and sanctuary candles for the Quad Parishes
  • Send parishioner updates to Diocesan offices
  • manage data using CHMS
  • File correspondence, reports, minutes, and important documents
  • Prepare and publish the weekly bulletin
  • assist with graphic design for parish publications
  • Manage the parish website and social media pages
  • Maintain parish calendars for church services, facilities, and staff schedules
  • Coordinate parish rentals, handling scheduling and necessary documentation
  • Provide administrative support to the Parish Administrator and parish staff
  • Assist with budget preparation and reporting
  • act as liaison for the Finance and Pastoral Councils
  • Prepare annual reports for parishioners and the Diocese
  • Manage office supplies and inventory
  • Perform end-of-day duties, ensuring the office is secure
  • Perform any other duties as assigned
