The Administrative Assistant position at Optum is a vital role based onsite at the FlexCare Infusion center located in Kirkland, Washington. This full-time role requires dedication to supporting the medical team by effectively managing a variety of administrative functions critical to smooth, efficient healthcare operations. Key responsibilities include greeting and checking in patients and visitors, managing phone communications, scheduling appointments, and assisting with the coordination of medical documentation and records. The role demands a high level of organization to ensure timely receipt and distribution of mail, management of office supplies and patient snack bar inventory, as well as maintaining compliance with state and federal office safety regulations.

In addition to routine administrative duties, the Administrative Assistant at Optum plays a direct role in fostering a welcoming and calm environment for patients and visitors by assisting with forms and documentation, scheduling meetings for staff, executing follow-up communications, and supporting human resource functions such as personnel records and data entry. The position offers comprehensive on-the-job training aligned with the employee's schedule to ensure proficiency in all required functions. Candidates must be adaptable, as business needs may occasionally necessitate working holidays or overtime within standard business hours from 8:00 am to 5:00 pm.

Job Requirements

  • High school diploma or GED
  • Must be 18 years or older
  • Willingness to obtain CPR or BLS certification within 45 days
  • Minimum 2 years administrative or office experience
  • Proficiency in MS Office Word and Excel
  • Willingness to work onsite at Kirkland infusion center
  • Ability to work full-time Monday through Friday
  • Flexibility to work 8-hour shifts between 8 am and 5 pm
  • Availability for some holidays and overtime
  • Pass pre-employment drug test

Job Qualifications

  • High school diploma or GED
  • Two years in an administrative or office role
  • Proficiency in MS Office including Word and Excel
  • Willingness to work onsite at Ambulatory Infusion Center in Kirkland
  • Ability to work full-time Monday through Friday
  • Flexibility to work any 8-hour shift during business hours
  • Ability to pass a drug test
  • Receptionist experience preferred
  • Experience in a medical office setting preferred
  • Willingness to obtain CPR or BLS certification within 45 days of hire

Job Duties

  • Answer and re-route incoming calls to appropriate staff
  • Make outgoing post-infusion follow-up calls to patients or caregivers
  • Document patient communications in electronic medical records
  • Handle incoming and outgoing mail for timely receipt or delivery
  • Greet, screen, and check-in patients and visitors for appointments
  • Receive shipments and direct vendors for deliveries
  • Perform office safety audits as required by regulations
  • Assist with over-the-phone scheduling of patient visits
  • Provide administrative support including data entry and personnel records
  • Organize and schedule onsite or remote meetings for staff
  • Organize and file clinic and client documents
  • Monitor and maintain inventory for operational supplies and patient snack bar
  • Assist in maintaining a clean work environment according to CDC recommendations
  • Run reports under direction of management
  • Assist patients in completing necessary forms and maintain calm reception area
