The role of Administrative Assistant at MRES is fundamental to the smooth operation of the organization’s daily activities. This position involves performing routine clerical and administrative tasks that are essential to maintaining an organized and efficient office environment. The Administrative Assistant will be responsible for drafting correspondence, scheduling appointments, and organizing and maintaining both paper and electronic files to ensure data integrity and confidentiality. In addition to these duties, the role requires managing incoming and outgoing communications, coordinating travel and meeting arrangements, and supporting other administrative functions as needed.

Individuals in this role will also have the opportunity to represent MRES in various industry meetings, development projects, and conferences, acting as a liaison between the organization and external stakeholders. The position demands proficiency in office software such as word processing and spreadsheets, along with a capability to evaluate office supplies and equipment for efficiency enhancements. The Administrative Assistant will also provide support during the absence of other administrative personnel, demonstrating flexibility and a multi-skilled approach. Job Duties

  • Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers
  • Maintain confidentiality of information
  • Perform administrative and clerical support duties including word and data processing, proofing, report assembly, and office machine operation
  • Plan and procure approved travel and meeting arrangements
  • Maintain documentation of general and corporate business records
  • File and document business records within filing and library systems
  • Distribute incoming and internal correspondence
  • Prepare outgoing mail and correspondence for delivery
  • Evaluate office equipment, supplies, and administrative support software
  • Perform file searches
  • Update and maintain mailing lists and associated databases
  • Provide administrative/clerical support in the absence of other Administrative Assistants
  • Perform duties of the Receptionist as required
  • Assist and provide training related to administrative positions
  • Perform or be trained for duties of related administrative positions
  • Represent MRES on industry, development, and project committees, task forces, and conferences
  • Create and maintain permanent documentation of projects, data, and software related to this position
  • Keep abreast of relevant professional, industry, and inter-utility developments
