We are currently seeking a dedicated full-time, permanent Administrative Assistant who will play a crucial role in supporting our senior leaders and executives. This position offers a competitive salary range between $55,000 and $60,000, with additional bonus opportunities. The Administrative Assistant role is multifaceted, requiring a proactive individual who can effectively manage diverse responsibilities. Key aspects of the position include providing support during meetings by capturing accurate discussions, decisions, and action items, and then disseminating clear meeting summaries among teams. The assistant will be responsible for creating and maintaining expense tracking tools, updating critical documentation, and supporting various business initiatives to keep projects on track.
A vital part of your role will involve designing and refining executive-level presentations using PowerPoint for leadership meetings, ensuring professionalism and clarity to effectively communicate important information. You will also coordinate outgoing correspondence and manage mail distribution efficiently to maintain organizational flow.
Event and travel coordination will require close collaboration with Executive Administration, planning conferences, off-site meetings, and handling all travel arrangements to support organizational objectives. Additionally, strong communication skills are necessary for engaging across various platforms such as Microsoft Teams, RingCentral, and email to meet the needs of a diverse range of stakeholders.
We are looking for a candidate with at least two years of experience in administrative roles supporting executives or department leaders. Exceptional organizational skills, professional communication, and the capability to juggle multiple priorities in a fast-paced setting are critical. The ideal candidate anticipates needs and proactively addresses challenges before they arise. Proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Teams, is required, along with the ability to quickly learn new technologies or software platforms.
Additional preferred experience includes familiarity with board management software like BoardEffect, and a tech-savvy approach to handling mobile devices and office equipment. Job Duties
