The Administrative Assistant position for the Department of School Quality is a pivotal role focused on supporting efficient departmental operations through a variety of administrative and organizational tasks. This permanent full-time role spans 260 workdays per year (approximately 12 months) with an 8-hour workday and an annual starting salary of $51,899.10, which is prorated for employment starting after July 1, 2025. The successful candidate will play a critical role in facilitating seamless communication, managing schedules, coordinating events, and assisting with budgetary and facility management. This position requires proficiency in various office technologies including Microsoft Office, Google Suite, Oracle, and PowerSchool, reflecting the department's commitment to utilizing modern tools for efficient operations.
In the administrative capacity, this role includes screening and directing communication, handling correspondence, maintaining records, and ensuring that all relevant documents and reports are accurately produced and maintained. The Administrative Assistant functions as the primary contact for the department and acts as an essential liaison between department staff and external stakeholders. Through budget and financial management, this role processes purchase orders, direct payments, interdepartmental transfers, and supports grant compliance along with payroll functions as assigned by the Central Office.
Additionally, the Administrative Assistant leads event planning and coordination for meetings and training sessions related to the department's mandate, while also facilitating new staff orientation and onboarding processes. Maintaining professionalism with high standards of integrity and confidentiality, this position models respectful behavior, demonstrates self-direction by proactively seeking training opportunities, and ensures timely and efficient completion of all assigned duties.

Job Requirements
- High school diploma or equivalent
- Experience in administrative support roles especially in educational settings preferred
- Strong organizational and multitasking abilities

Job Qualifications

- Experience as an administrative assistant in a comprehensive school setting preferred

Job Duties
- Act as the primary point of contact by screening and directing calls, visitors, and mail for all department members
- Produce high-quality letters, reports, and Principals' Memos using tools like Google Docs, Excel, and PowerPoint
- Maintain the Director's calendar and ensure all departmental reports and records are accurate and up-to-date
- Oversee the ordering of office supplies, manage storage spaces, and handle building-related tasks like mail distribution
- Process direct pays, purchase requisitions, and Interdepartmental Transfers
- Ensure compliance with federal grants and maintain an updated ledger of the department budget as funds are encumbered
- Manage payroll processing as assigned by the Central Office
- Lead the planning, organization, and support for all meetings and training sessions associated with the DSQ
- Orient new employees to building access, safety routines, supplies, and mileage procedures
- Demonstrate proficiency in Microsoft Office, Oracle, Google Suite, and PowerSchool
- Maintain professional oral and written communication ensuring all email correspondence receives a response within 24 business hours
- Protect departmental operations by maintaining confidentiality and integrity
- Model respectful behavior, accept feedback, and maintain professional attire
- Actively seek opportunities to apply personal skills to accomplish tasks and undertake training independently
