We are currently seeking a highly skilled and experienced Executive Administrative Assistant to join a global technology leader driving innovation and empowering individuals and organizations to achieve more worldwide. This role involves performing a variety of complex administrative functions for all levels of management, including external business partners. The ideal candidate will be responsible for managing executive-level schedules, coordinating travel arrangements, and processing business expenses with a high level of accuracy and professionalism. In addition, the role covers coordinating meetings, offsites, and morale events, as well as tracking and managing budgets along with headcount tracking and management.

With a primary focus on calendar and travel support, the Executive Administrative Assistant will ensure responsiveness, reliability, and proactiveness in managing calendars at least two weeks out. This position also includes managing onboarding and offboarding processes, procurement of goods and services, office supplies, space management, and vendor relationships. Providing general office support for onsite teams and serving as the main contact for the department or group are essential elements of this position.

Responsibility for headcount tracking, budget oversight, and event coordination will require strong organizational and communication skills. The role demands the ability to anticipate and address space needs ahead of new hires, maintain ongoing communication with leadership, ask pertinent questions, and actively collaborate with administrative peers in a team-oriented environment.

Experience requirements for this position include 4-5 years of high-level executive support with calendar and travel management expertise, 3-4 years of headcount and budget tracking, and more than 4 years of team support and customer service skills. The candidate must demonstrate reliability and availability during standard working hours and have the flexibility to support travel emergencies as needed.

Job Requirements

  • 4-5 years of executive support experience specifically managing complex calendars and travel
  • 3-4 years of experience tracking headcount and budgets
