Job Requirements

  • 2-4 years of general office, clerical, or equivalent experience
  • high school diploma or equivalent
  • ability to work independently with minimal supervision

Job Qualifications

  • administrative assistant experience supporting an executive preferred
  • high school diploma or equivalent
  • associate's degree or equivalent preferred
  • ability to work independently with minimal supervision
  • excellent organizational skills, flexibility, and positive approach to supporting a busy office
  • ability to proactively identify problems and recommend solutions
  • ability to interact well with staff at all levels in a fast-paced environment
  • ability to remain flexible, proactive, resourceful, and efficient

  • ability to perform difficult, complex, and detailed clerical and administrative work with accuracy and speed

  • take and transcribe minutes/memos with speed and accuracy
  • ability to analyze situations accurately and take appropriate action
  • ability to compose correspondence and accurate reports with little guidance and direction
  • experience assisting management with the creation of PowerPoint presentations
  • must have working knowledge of computers and all applicable software including strong knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook

Job Duties

  • Manage calendars and schedules for executives and leadership with flexibility and creativity
  • handle incoming and outgoing electronic communications on behalf of executives as needed
  • provide administrative support to department staff including onboarding, supply management, and general office duties
  • plan and coordinate departmental events, team-building activities, and functions including catering and logistics
  • monitor team morale and report concerns to leadership
  • organize and prepare agendas and logistics for meetings
  • attend, take notes, track action items, and follow up
  • compile and distribute departmental reports such as weekly KPIs, terminations, transfers, and expense reports
  • ensure newly hired employees have all necessary work equipment and access
  • manage company credit cards, reconcile expenses, and report to finance
  • create and maintain department organizational charts
  • coordinate all business-related travel for Consultant Support personnel
  • build strong relationships and work closely with executive assistants throughout the company
  • act as a backup to other executive assistants and receptionist as needed
  • perform all other assigned tasks and requirements as needed
