Job Requirements

  • High school diploma or equivalent
  • two years of office administration or clerical experience
  • proficient in Microsoft Word and MS Office applications
  • knowledge of purchasing, shipping, and receiving procedures
  • ability to operate office and shipping equipment
  • excellent communication skills
  • ability to multitask and work independently
  • high attention to detail
  • valid Oklahoma Driver's License

Job Duties

  • Serves as the THD receiving point of contact
  • coordinates shipping and receiving
  • approves purchase orders after verifying shipment accuracy
  • completes purchase order request forms
  • maintains and verifies program records
  • performs data entry of maintenance work orders into the EMaintenance Software Program
  • maintains and distributes work orders received through helpdesk email and calls
  • acts as THD contact for Oklahoma Turnpike Authority and tracks turnpike passes
  • issues and tracks Fuelman gas cards
  • manages vehicle reservations for THD Caravan and Tahoe and tracks fleet purchases
  • copies, files, and distributes leave summaries and acts as leave administrator
  • tracks inventory of equipment maintained by Facilities Management
  • distributes incoming and outgoing mail
  • prepares reports to track mail costs
  • completes required training
  • performs other duties including support for public health emergency operations
  • takes photographs of equipment for public auction and posts on auction website
