The Event Coordinator position at SDSU University Relations & Development is a full-time role scheduled for 40 hours per week, with a salary range of $23.00 to $25.00 per hour that is non-negotiable. This role offers eligibility for comprehensive health benefits, vacation, and sick leave. The Event Coordinator will be an integral member of the Alumni Center's event management team, tasked with supporting the planning, coordination, and flawless execution of numerous and varied events hosted throughout the year.

This position requires the coordinator to manage multiple responsibilities including scheduling, setup, client communication, and on-site logistics. The coordinator acts as a pivotal liaison between clients, vendors, and the SDSU team, ensuring that all events are aligned with both client expectations and university standards. Given the dynamic and fast-paced nature of event management, the role demands exceptional organizational skills, attention to detail, and the ability to work independently and collaboratively within a team environment.

The Event Coordinator must be prepared for flexible working hours that may include evenings, weekends, and holidays in accordance with event schedules, in addition to standard office hours Monday through Friday from 8:00 a.m. to 4:30 p.m. Day-to-day responsibilities encompass direct coordination of event logistics, real-time problem solving on event days, providing high-level customer service, managing setup and breakdown, and supporting vendor and team coordination. The coordinator will also contribute to developing event layouts and diagrams and provide audio-visual support as needed, making this a varied and hands-on role.

An ideal candidate will bring a minimum of a high school diploma or equivalent, combined with at least four years of progressively responsible experience in an office or administrative environment. Strong problem-solving capabilities, excellent interpersonal communication skills, and proficiency in Microsoft Office and Google Workspace are essential. Experience in hospitality or event planning, familiarity with audiovisual equipment, and the ability to learn new software programs will be highly valued.

The position also requires physical stamina for regular lifting, carrying, and standing for extended durations during event setups and takedowns. Job Duties

  • Independently coordinate logistical aspects of events, prioritize tasks, adjust timelines, and assist in resolving planning and operational challenges
  • respond to event-day issues in real-time using reasoning, judgment, and creativity to solve complex problems related to event coordination
  • serve as the primary point of contact for internal and external event clients, ensuring effective communication and satisfaction
  • provide on-site support during events, ensuring logistics are in place and client expectations are met or exceeded
  • coordinate and assist with the physical setup and teardown of events based on event diagrams
  • foster a collaborative environment by coordinating closely with team members, ensuring clear communication and seamless operations
  • coordinate with vendors such as catering, parking, and custodial services to ensure event logistics are executed in alignment with event requirements
  • develop event layouts and diagrams to ensure optimal flow and guest experience
  • set up and operate audio-visual equipment and troubleshoot technical issues during events
  • support special projects and collaborate on cross-functional event initiatives as needed
