The role of Activities Supervisor at Sun Outdoors is pivotal in creating memorable and engaging experiences for resort guests. This position involves planning, coordinating, and overseeing a diverse range of recreational activities and special events including picnics, sporting events, dances, and dinners. The Activities Supervisor leads and supports the activities team to ensure that all programs run smoothly, safely, and align with the company’s goal of maximizing guest satisfaction.

As an Activities Supervisor, you will be responsible for supervising team members, managing daily schedules, and maintaining accurate financial records related to activities. This includes balancing income and expenses, handling petty cash, and approving invoices promptly. Additionally, the role requires effective marketing of events both within and outside the resort to boost participation and success. A key aspect of this position is to develop a comprehensive calendar of events for upcoming seasons while managing budgets prudently.

Your work will also include preparing food for small events, coordinating with caterers for larger gatherings, ensuring equipment and supplies are in good condition, and maintaining office inventory. Producing a weekly newsletter and organizing fundraising activities to support the department are also vital responsibilities. The role demands excellent communication skills as you will be the first point of contact for guests seeking information about activities. Flexibility is essential, as some events occur during non-business hours and require hands-on involvement from setup to cleanup.

Job Requirements

  • High school diploma or GED
  • ability to work well independently as well as on a team
  • basic computer proficiency, including the ability to use email and the internet
  • demonstrated leadership abilities
  • excellent written and verbal communication skills
  • flexibility to work events during non-business hours

Job Duties

  • Plans, coordinates, attends, and supervises all activities such as picnics, sporting events, dances, and dinners
  • maintains a balance sheet for each activity showing income, expenses, attendance, and vendors used
  • reviews, approves, and submits all invoices for payment in a timely manner
  • documents all payments
  • balances money collected through the day and reconciles the cash register
  • ensures to follow the cash handling policies and procedures
  • prepares bank deposits
  • markets events within or outside the resort to ensure success
  • coordinates team member selection and development and ensures team members comply with appropriate policies and procedures
  • produces a calendar of events for the next calendar season while staying within expectations
  • prepares monthly and annual budgets
  • sets-up and cleans-up after events
  • prepares food for small events and collaborates with a caterer for larger events
  • maintains adequate office and activity supply inventories
  • prepares weekly newsletter and distributes to resort residents and guests
  • organizes fundraising activities to support the department
  • ensures all equipment and supplies are kept in good condition
  • answers the telephone courteously
  • handles routine questions regarding activities
  • maintains petty cash fund, turning in petty cash request upon reaching $100.00 in receipts for reimbursement
  • prepares end-of-month and other reports as requested by RV Resort Manager
  • other duties as assigned
