Job Description
The Accounts Receivable Coordinator plays a critical role in the financial health and operational efficiency of a hospitality or hotel establishment. This position is responsible for managing the billing, monitoring, and reporting of direct bill receivables, which primarily include Franchise Programs such as brand loyalty and guest issue accounts, Corporate VIP and Owner accounts, and Service Recovery billings. The role requires a detail-oriented professional who can coordinate effectively among various departments such as Sales, Banquets, Front Office, and Accounting to ensure accurate and timely billing and collections.
This role exists within a dynamic hospitality environment where the Accounts Receivable Coordinator serves as a key liaison between guests, corporate clients, and internal teams. The Coordinator ensures that all direct billing applications are properly tracked and approved while managing past due accounts, coordinating legal actions as necessary, and maintaining up-to-date receivable reports. The individual will regularly communicate with property General Managers, Controllers, and Sales teams to provide weekly and monthly updates on accounts receivable statuses and overdue balances.
Specific duties involve preparing and sending out group and banquet billings shortly after events, posting payments through property management systems, and verifying sales contracts with the Sales Management team. Attendance at property line-ups and meetings is also required to stay aligned with operational goals and address any billing concerns proactively.
The ideal candidate for this role will be organized, proactive, and possess strong communication skills to navigate broadly across functions. This role offers the opportunity to contribute to the financial success of the property by managing revenue streams meticulously and supporting the accounting team with accurate data and reports. The Accounts Receivable Coordinator position is typically full-time and may offer competitive compensation commensurate with experience within the hospitality industry.
