Job Duties
- Answer telephones, forward calls and messages to the appropriate party
- forwards faxes to appropriate party
- signs for and notifies employees when packages arrive
- prepares courier and customs documents and arranges courier for outgoing packages
- prepare efficiency and scrap reporting from Cell Leader spreadsheets
- report any unusual items to Financial Analyst
- promptly sort all incoming mail making sure it goes to appropriate person
- place all invoices received in alphabetical order, stamp as received and direct to Accounting
- send outgoing mail on a daily basis
- organize reports weekly from various departments and distribute Management package
- upon receipt of signed cheque run, prepare for cheque release
- ensure both signatures present, separate vendor cheque from file copy, place vendor cheques in window envelopes, select items to be released immediately, and release upon approval by Director of finance or designate
- file cheques copies alphabetically by vendor
- maintain office supply inventory
- place orders when necessary
- obtain appropriate approvals for all supplies ordered
- place special orders for employees
- contact supplier for pricing
- keep ongoing file of all supplies ordered
- mail out customer copy of invoice, file copy with accounting
- provide administrative support for management staff as requested
- direct customer complaints to appropriate Quality Representative
- direct incoming material certifications to Quality Department
- direct incoming material MSDS sheets to appropriate purchasing representative
- make travel arrangements as required by staff
- greet and accommodate visitors
- responsible for general office housekeeping
- communicate any issues to cleaning or landscaping staff
- facilitates office communication
- archive room - give out box numbers into excel file
- make sure all information is filled including the destroy date
- allocate space and arrange shredding once a year
- arrange to move boxes from MPK to UMW for storage
- responsible for the continuous improvement of the efficiency and effectiveness of the above processes
- layer process audit
- obtain WSIB insurance clearance for suppliers and upload
- perform other related duties as required by management
