Job Description

Baylor University, founded before Texas was a state, is a prestigious private not-for-profit university affiliated with the Baptist General Convention of Texas. Over the years, Baylor has transformed from a humble college into one of the premier institutions of higher education worldwide. The university prides itself on its robust commitment to research and doctoral education, earning it recognition as one of the 187 R1 research institutions in the United States, with only 52 of these being private universities. Baylor's reputation as a preeminent Christian research university underscores its dedication to integrating faith and learning to foster an enriching academic environment.

Since 2011, Baylor has consistently been recognized as one of the "Great Colleges to Work For," a national accolade that reflects top-tier employee satisfaction based on workplace practices and policies across ten critical areas. This recognition is derived from faculty and staff survey responses, showcasing Baylor's dedication to creating a supportive, rewarding, and dynamic workplace culture. Employees at Baylor benefit from a comprehensive and inclusive environment that not only promotes professional growth but also fosters community engagement within the vibrant college campus and the local Waco area.

The Academic Events Coordinator position at Baylor University is a vital role within the academic administration team. This role is dedicated to planning, designing, and executing a diverse portfolio of faculty-focused events that enhance the university's academic mission. The coordinator oversees all logistical details of these events, including venue selection, catering arrangements, decor, audiovisual setup, and ensuring compliance with Baylor's university policies and procedures. The role requires astute organizational skills and a keen eye for detail, as well as the ability to coordinate with multiple internal departments and external vendors.

In addition to event planning, this role supports academic leadership by managing event calendars and participating in agenda development to ensure the smooth facilitation of faculty initiatives. The coordinator also manages invitee lists and RSVP tracking to maintain effective communication and maximize attendance. Financial responsibilities include developing and managing event budgets, tracking expenses, processing payments, and guaranteeing alignment with university financial guidelines.

Furthermore, the Academic Events Coordinator provides crucial administrative support to key figures such as the Vice Provost of Administration and Operations, the Faculty Senate, and the Chair Leadership Initiative. This support includes meeting coordination, documentation, and communication tasks. Hospitality-related duties are also part of the role, which encompasses assembling gift bags, coordinating special events like the Provost's Christmas cards and birthday lunches, and managing the card ministry.

Baylor University places high importance on compliance with university policies and consistent attendance, reflecting the professional standards expected of the role. The position is full-time and requires applicants to be authorized to work in the United States. Baylor offers a comprehensive benefits package that includes medical, dental, and vision insurance, generous time off, tuition remission, and outstanding retirement contributions, emphasizing the University's commitment to employee well-being.

Joining Baylor means becoming part of a distinguished academic community dedicated to excellence, inclusivity, and service. With its rich history and forward-thinking vision, Baylor University invites candidates who are passionate about event coordination and who aspire to contribute meaningfully to a leading Christian research university's mission and community.
