Job Description
Bend-La Pine Schools is a distinguished and inclusive educational institution located in Bend, Oregon. Committed to the principle of equity, the district aims to go beyond treating everyone the same by actively removing barriers and promoting inclusive practices to ensure all students fully benefit from their educational experience. This fundamental value of equity guides all policies, regulations, programs, operations, practices, and resource allocations within the district. Bend-La Pine Schools serves a diverse student population and empowers its staff through a supportive and mission-driven work environment. The district’s overarching goal is to provide high-quality education and a positive, nurturing atmosphere where every student has the resources and opportunities needed for success.
The role of School/Department Office Secretary (I) at the elementary school level forms a crucial part of the administrative team within Bend-La Pine Schools. This position reports directly to the Office Manager and/or Administrator and operates primarily under general supervision. The Office Secretary handles a wide variety of clerical tasks that support the smooth and effective operation of the school office. This includes extensive typing, filing, data recording, and maintenance of student records, all of which must comply with Oregon state laws. Accuracy, efficiency, and confidentiality are paramount, as the work directly involves sensitive student information.
In this position, the Office Secretary is responsible for preparing materials for classroom and office use, maintaining accurate records such as charts and graphs, and supporting filing and data organizing efforts. The role also includes collecting and accounting for monies, preparing reports, answering phone calls, sorting mail, and serving as an office receptionist. Additionally, the Office Secretary may need to administer first aid to students in the absence of a school nurse, a responsibility that reflects the position’s unique role within the school.
Bend-La Pine Schools demands a candidate who can manage multiple tasks with strong attention to detail and excellent verbal and written communication skills. The Office Secretary works within a dynamic and sometimes fast-paced environment where interruptions are frequent and prioritizing duties is critical. Physical aspects of the job involve prolonged sitting, computer use, occasional standing and walking, as well as lifting items consistent with typical office responsibilities.
Successful candidates must be proficient in modern office practices and equipment, including computer applications and audio-visual technology. They must have a valid first aid card and be trained to handle safety procedures appropriately. The ability to type at least 40 words per minute accurately, follow oral and written instructions, and maintain confidentiality is required. Knowledge of district software systems, internet, and e-mail is essential, with additional skills in spreadsheets or databases considered advantageous. The position is suited for individuals with at least a high school diploma or equivalent and relevant clerical experience, which may range from six months to a year for proficiency.
This role is ideal for organized, detail-oriented individuals who thrive in team settings and value contributing to an equitable educational environment. Bend-La Pine Schools encourages applicants from diverse and non-traditional backgrounds and prioritizes finding the best candidate suited to the position. The district values professionalism, punctuality, respect for cultural diversity, and a commitment to supporting student well-being as core elements of its workplace culture. Employees are expected to consistently demonstrate integrity and uphold the district’s standards, policies, and mission.
By joining Bend-La Pine Schools as an Office Secretary, individuals become integral to the daily functioning of an elementary school and directly contribute to fostering a positive school climate and effective communication between students, staff, families, and the broader community. The position offers the opportunity to develop administrative expertise within a respected public school district that values inclusion, equity, and excellence in education.
